Clinical Office Coordinator

Overview

We are seeking a Clinical Office Coordinator to join our team. This person will be running the front of the house, coordinating care, and serving as our patients’ main contact. The ideal candidate is warm and welcoming with patients, highly organized in managing office flow, and confident in setting boundaries when needed. This role combines direct patient communication with administrative support to keep the practice operating smoothly.

Key Responsibilities

Patient Care & Communication

  • Greet patients warmly and ensure a positive experience from check-in to check-out.

  • Contact patients to confirm appointments, explain services, and follow up after visits.

  • Help schedule and coordinate multiple providers and therapies.

  • Ensure patients understand their plan of care, therapy instructions, and next steps.

  • Provide education on available resources and support services.

Care Navigation & Follow-Up

  • Track referrals, authorizations, and test results to ensure continuity of care.

  • Follow up on missed appointments, incomplete paperwork, or delays in the care plan.

  • Serve as a liaison between patients, families, and the healthcare team. 

  • Coordinate with outside providers, specialists, and insurance companies.

Administrative & Office Support

  • Manage provider calendars, including scheduling, rescheduling, and cancellations.

  • Maintain office supplies and ensure the environment stays organized and welcoming.

  • File and organize records, prepare correspondence, and assist with forms and reports.

  • Collect copays, process payments, and (as needed) verify insurance coverage.

  • Use the EMR to document communications and flag clinical issues for review.

  • Confident in setting boundaries and managing difficult situations respectfully.

  • Comfortable juggling multiple tasks and priorities in a busy clinical setting.

  • Prior experience in healthcare or a medical office is preferred.
